Chapter 11: Maintenance Activity

One of the most interesting aspects of testing and validating ClubAssemble against real-world club scenarios is how often new needs reveal themselves when you step away from the code and talk to the people actually running clubs.

A recurring theme, especially among smaller community clubs, was the challenge of managing maintenance work — all the odd jobs and upkeep that keep a club running. Whether it’s a small team of dedicated groundskeepers mowing pitches and repainting lines, or a more spontaneous “call to arms” at the start of a new season, most of this work relies heavily on volunteers.

It’s vital work, yet most clubs have no structured way of organising or tracking it. That insight led us to design a new capability within ClubAssemble: the Maintenance Jobs Board.

Introducing the Maintenance Admin Role

To support this, we added a new administrative role — Maintenance Admin. This role works alongside existing admins to create, publish, and manage maintenance-related tasks. Jobs can range from scheduled events (“Painting the clubhouse on Saturday at 10am”) to ongoing ad-hoc activities (“Tidy the equipment shed when you have a spare hour”).

Each job entry can include:

  • A title and description of what needs to be done
  • Dates and times, if it’s a scheduled job
  • Location and any access notes
  • Skill requirements (for example, electrical, carpentry, or gardening)
  • Age limits, ensuring suitability for the task
  • The option to assign specific members or open the job to all volunteers

The Jobs Board – Empowering Volunteers

Once created, these jobs appear on a new Jobs Board available to all club members. From there, members can browse available tasks, volunteer themselves, and mark jobs as complete once done.

The Jobs Board becomes a live reflection of the club’s behind-the-scenes energy — helping spread the workload, encourage participation, and give members a greater sense of ownership. Clubs can even use it to track who’s contributed to maintenance efforts, fostering recognition and appreciation for the volunteers who keep things running smoothly.

Why It Matters

This feature grew directly from listening to real clubs and recognising that their biggest strength — their people — needed a simple, structured way to help. By embedding maintenance coordination directly within the same platform that manages fixtures, events, and communication, we’ve made it easier for clubs to organise work, recognise contribution, and maintain their facilities without adding yet another separate system or spreadsheet.

Sometimes the best new features aren’t the ones you plan for — they’re the ones the community asks for. The Maintenance Jobs Board is a perfect example of that: simple, practical, and designed to make club life a little easier for everyone involved.
